Why Private Out-of-State Purchases Need a Shipping Plan From the Start
Buying a car from a private seller in another state can land you a great deal — a clean title, lower mileage, or a model you simply can't find locally. But unlike buying from a dealership, private sales come with no logistics department, no prep team, and no one to hand off the details. That's on you.
The good news: with a little forethought, shipping a privately purchased vehicle is straightforward. Here's how to do it right.
Before You Even Pay the Seller
This is the step most buyers skip, and it's the one that costs them later.
Verify the vehicle before committing to shipping costs. If you can't inspect it in person, hire a local pre-purchase inspection (PPI) service in the seller's city. For $100–$200, a licensed mechanic will check the car over and send you a detailed report. Services like Lemon Squad or a local independent shop work well. Don't skip this just because the listing looks clean.
Confirm the title is in hand and unencumbered. Ask the seller directly: Is the title in your name? Is there a lien on it? If there's a lien, the seller needs to pay it off before — or at closing — so you receive a clean title. Shipping a car you can't legally register is a headache you don't need.
Lock in your transport company before you finalize the sale. Know your shipping cost and estimated pickup window before you wire money. That way, your total cost is real, not a guess.
How the Pickup Actually Works With a Private Seller
Dealerships handle carriers every week. Private sellers usually haven't done this before. Set them up for success by walking them through what to expect.
- The carrier will call ahead. Let the seller know a dispatcher or driver will reach out to confirm pickup timing — sometimes with 12–24 hours' notice. Make sure you give the shipping company the seller's direct cell number.
- The seller doesn't need to be an expert. They just need to have the car accessible, keys ready, and a few minutes to sign the Bill of Lading (the inspection document the driver prepares at pickup).
- The Bill of Lading matters. It records the car's condition at pickup — every scratch, ding, and chip. The seller should review it carefully and note anything the driver misses before signing. You'll want that record if there's ever a question about the car's condition on arrival.
Pro tip: Ask the seller to photograph the car — all four sides, the roof, the interior — the morning of pickup, before the driver arrives. Text those to yourself. They're your independent record.
What to Do on Your End During Transit
You've paid for the car. It's on a carrier. Now what?
Stay in contact with your shipping company, not just the driver. A good carrier keeps you updated on estimated delivery windows. At Dreamline Logistics, we make sure you're never left wondering where your car is.
Prepare your delivery location. If you live in an apartment complex, on a narrow street, or somewhere a large truck can't easily reach, identify a nearby meeting point in advance — a shopping center parking lot or a wide residential street works fine. Let your shipping company know upfront so they can plan accordingly.
Be present at delivery. When the car arrives, walk around it with the driver before they leave. Compare the condition to the Bill of Lading from pickup. If anything is different, note it on the delivery paperwork before signing. Don't let a driver rush you through this step.
The Title and Registration Piece
Once the car arrives, you'll need to handle registration in your home state. Every state is different, but generally:
- Get the signed title from the seller (if they haven't mailed it already — arrange this before or at closing).
- Have the title notarized if your state requires it.
- Take the title, bill of sale, and any required emissions or safety inspection documents to your local DMV.
- Pay applicable sales tax and registration fees.
If the seller is slow to send the title, follow up quickly. Delays here are common and entirely avoidable if you set expectations before the car ships.
